Session 2 - Managing Content Session Overview

This article will walk you through the key takeaways from the Managing Content Session #2 training. We will show you how to use Marketing Streams, Tags, Smart Filters, and Scheduled Tasks to manage your content in your Hub. We will also show you how to set up your Custom Hub Menu. You can also watch the Session #2 training video.

Step 1: Overview of Stream Types

There are 3 types of Streams within your Hub:

We covered importing your Content Streams in Session #1 and we will be going into more detail about Marketing Streams below. You can learn more about Sales Streams in our Uberflip for Sales Session.

Step 2: Building Your Hub Menu Structure

A great aspect of your Hub is having full control over your Hub menu structure - no need for IT help! As a best practice, we recommend using your Hub menu and Marketing Streams (more on that below!) to organize your content around specific personas, topics, industries, regions, and/or resource types

We recommend choosing at least 3 of these ways to segment your content, "Topic" and "Resource Type" being the most popular. 

This is an example of how Red Flag Group uses "Resource Type", "Region", "Industry" and "Topic" to structure their content using Marketing and Content Streams:

  

When building out your Menu structure, it is important to brainstorm what content you currently have and the topics you want to organize your content around. A client used the spreadsheet below to plan their menu structure before building it in their Hub. Once you have your Menu structure, you will have an understanding of which Marketing Streams you will need to create for these topics. You can always easily add a new menu item when you have enough content for a new Marketing Stream. 

NOTE: You can link to Marketing or Content Streams, this means you would not need to create a Marketing Stream for "Whitepapers" because you already have the Whitepapers Flipbook Folder Stream.

To build out your custom Hub menu, visit the Appearance section of your Hub. Select Menu from the top navigation bar. Select the + button to add a menu item.

There are three types of Menu Items that you can create:

  1. Section Heads (drop-down list heading)
  2. Stream Links
  3. Website Links

Section Heads

A Section Head can have more menu items nested within it. It is used to create drop-down lists of menu items.

Stream Links

A Stream Link takes the user to a specific stream within your Hub. It can link to a Marketing Stream or Content Stream (ex. your blog Stream or a Flipbook Folder) 

Website Links

A Website Link takes the user to a specified URL. It is usually used to link to a website outside of your Hub (for example, a "Contact Us" page).

Step 3: Marketing Streams

Marketing Streams allow you to provide structure to your Hub so that you can tailor your content to specific personas, topics, industries, regions, or resource types.

Step 4: Tagging your Content 

Tagging your content is mainly used for three reasons:

  1. Internal organization - tags are only for internal use and can only be seen and used by you and your team when you are logged in. They help you keep track of what content is related to which topic.
  2. Metrics - tagging your content allows you to view how your different tags are performing within your Hub, and view the metrics that are associated with each tag. For further information register for Session #4 - Optimize (all about Distributing your Hub, Metrics, and SEO).

  3. Adding content to Marketing Streams:
    • Smart Filters - you can create Smart Filters based on tags (more on that below).
    • When Managing Items in a Marketing Stream, you can search by tags to easily identify content that should be added to that Stream.

Step 5: Smart Filters

Smart Filters work in the same way as "Rules" within your email inbox. In other words, they listen for certain criteria/features and based on those criteria, they take a specific action.

Step 6: Scheduled Tasks

Scheduled Tasks are a great way to set a specific action to occur at a specific time on a Stream, Item or Call-to-Action (CTA). This is useful if you want to show or hide something before or after a specific date. Scheduling tasks is a great way to automate your marketing efforts and can help to empower your content at the right time! 

For example, if you want a piece of content to be published on a specific date or you have a Webinar CTA that you want to hide after the webinar date.

  2. Create a Tag structure and start applying it to your Hub Content
  3. Create Smart Filters to automate the flow of content in your Hub
  4. Create you Hub's Custom Menu to provide structure to the experience 
  5. Schedule your next Working Session
